DUTIES
AND RESPONSIBILITIES: Types or transcribes correspondence,
memos, forms and case histories; Records accurately/timely
various departmental reports and spreadsheets by completing,
printing, and distributing. Sets up and maintains client
overpayments; Completes computer inquiries; Provides back-up
to the front desk area when needed; Provides information
to customers regarding programs, policies and rules of the
department. Makes appropriate customer referrals, in person,
and on the phone; Correctly organizes/distributes cases;
Purges records; Types and proofreads correspondence, forms
and reports; Maintains filing system(s); Distributes mail
and supplies; Other clerical duties as assigned.
KNOWLEDGE,
SKILLS AND/OR ABILITIES: The applicant must possess the
ability to: organize materials; compile and prepare statistical
reports by obtaining data from agency records, files and
state programs; type 35 wpm (adjusted for accuracy) in order
to design/draft formats; follow written and oral instructions;
make decisions within established precedents; and work effectively
with co-workers and the public; The applicant must also
have the ability to plan and organize her own work, involving
a variety of related tasks; to identify problems areas and
recommend changes; and to delegate & review work assignments.
Applicants should have knowledge of: clerical office procedures;
professional writing style including correct spelling, grammar,
and punctuation; and the use of personal computers and various
software packages. Skill in creating forms, spreadsheets
and PowerPoint presentations is required.
SPECIAL
REQUIREMENTS: Proficient knowledge of Microsoft Word, Excel
and Windows 2000 is preferred. Strong typing skills are
preferred. If offered employment, the applicant must undergo
a Criminal Records search and search of the Central Registry
of Child Abuse/Neglect. Prior to the first day of employment,
proof of a satisfactory driving record must be submitted
and drug screening must be performed. If chosen for this
position, a one-year probationary period must be served.
The individual hired must be willing to work in an emergency
shelter.
